Privacy on this site: how a reservation inquiry is kept and erased
Rockaway Beach Flix LLC, the Ohio limited liability company behind this site, is responsible for the details described here. This page explains what the office learns when you send a request, what we do with those details and how long we keep them. We collect only what we need to plan a stay, write your quote and ask a hotel to hold a room in your name.
Sunrise or sunset, nights and adults
The request form asks whether you prefer the sun over the water at sunrise or at sunset, which stay interests you, your week and number of nights, and how many adults are coming. It also has a checkbox for a water-facing room.
Then it asks for your name, your email address, an optional phone number and a message in your own words. The form also sends the name of the page it was sent from, and no card number is ever asked for on this site.
Emails and phone calls
If you write to shore@rockawaybeachflix.com or call (330) 376-5814, we keep what you tell us in the same way as a form request. That can include your email address, your phone number and the details of the trip you describe to us.
How a form submission reaches us
The form is passed to our inbox by an outside form-delivery service, which forwards each request to the office by email under its own privacy terms, and the request then stays with us. Before forwarding, that service may present a short check that you are a person, run by an outside captcha tool under that tool's own privacy terms.
Why we use your details
We use what you send for two purposes: to answer your request and to write your quote. If something in it is unclear, we may write or call back with questions. We use your details for nothing beyond planning the stay you asked about.
Sharing with your hotel
After you reply yes, we share your details only with the hotel named in your quote, and only what it needs to hold a room, such as your name, your dates, the number of adults and a way to reach you. Your details are never sold to anyone, for any reason.
Kept for 18 months, then erased
We keep your request and our replies for 18 months, then delete them. Keeping them that long lets us answer a question about a past quote. You may ask us to delete them sooner, as described further down this page.
A site without cookies or tracking
This site sets no cookies and runs no analytics, so we do not follow how you move from page to page. With each request, the company that hosts the site and the outside form-delivery service receive standard technical data, such as your IP address, browser type and the time of the request, and keep it under their own terms. If the office advertises this site, an advertising platform may record that you arrived through an ad click, under that platform's own privacy terms.
Requests sent by young children
The site is intended for adults in the planning stage of a trip. We do not collect details from children under 13 on purpose, and if a child under 13 sends us a request, we delete it as soon as we learn of it.
Your choices about your details
Three requests are always open to you: a copy of your request file, a fix to anything wrong in it, or its deletion. Write to datadesk@rockawaybeachflix.com from the email address you used, and we answer on the same schedule as other written requests, which our contact page sets out.
Keeping details secure
Your details stay in a password-protected inbox and files that only our office uses. No card number is asked for on this site, and none is stored here. No method online is perfect, so send only what your request needs.
Later tools and changes
The office may add a tool from another company to this site at a later date. If that happens, this page will name it and explain what it collects before it goes into use. This policy takes effect on October 31, 2026, and our terms for planning a stay sit beside it.
